Key takeaways

  • Messenger for business runs through a Facebook Page, and every chat can be managed in Meta Business Suite or a shared inbox.
  • Businesses can reply freely for 24 hours after the customer's last message; after that, options are very limited.
  • From April 27, 2026 Meta retires the CONFIRMED_EVENT_UPDATE, ACCOUNT_UPDATE and POST_PURCHASE_UPDATE tags; HUMAN_AGENT remains with special permission.
  • The most effective Messenger chat sources are Click to Messenger ads, the Page's Send Message button and m.me links.
  • Reply speed and clear chat ownership matter more for sales than the number of chats coming in.

Facebook Messenger for business is the chat feature connected to a Facebook Page, so potential buyers can message a business straight from the Page, a post or an ad. Every message can be answered for free in Meta Business Suite or a shared inbox. The most important rule: a business can reply freely within 24 hours of the customer's last message, and from April 27, 2026 Meta retires most of the message tags that used to allow messages outside that window. The key to Messenger is replying fast and finishing the conversation while the customer is still active.

This guide covers how to set Messenger up properly, the rules that apply in 2026, the chat sources that work best, and how to run Messenger as a team so chats turn into sales.

Who should still use Messenger?

WhatsApp may dominate business chat in many markets, but Messenger still matters for several kinds of business:

  • Businesses that advertise heavily on Facebook. Message ads to Messenger are often cheaper for certain audiences and do not require the customer's phone number.

  • Buyers who do not want to share a number. Some people prefer to ask on Messenger before deciding to give out their WhatsApp number.

  • Facebook groups and communities. Businesses active in buy-and-sell, automotive, property or hobby groups get many questions through Messenger.

  • Overseas markets. In some countries Messenger is still the main chat app.

If part of your customer base comes from Facebook, Messenger deserves to be managed seriously, not just checked now and then.

Setting up Messenger for business

1. Manage your Page in Meta Business Suite

Business messaging on Messenger always belongs to a Facebook Page. Add the Page to a Business Portfolio in Meta Business Suite so you can manage admin access per person without sharing personal accounts.

2. Complete your Page details

Fill in the category, opening hours, address, phone number and website. This information shows when customers open a chat and helps them judge whether your business is trustworthy.

3. Turn on the Send Message button

Set the Page's main action button to Send Message. It is the simplest chat entry point for Page visitors.

4. Create a Page username

The username sets your m.me link, for example m.me/ourshoestore. Choose something short, easy to say and consistent with your brand name on other platforms.

5. Prepare basic automatic messages

At minimum, set an instant reply for first-time chats and an away message for when you are offline. The full guide is in how to set up Facebook Messenger auto-replies.

The 24-hour rule and the 2026 message tag changes

Messenger uses a 24-hour standard messaging window. Every time a customer sends a message, the business has 24 hours to reply with any message, including promotions. Once 24 hours pass without a new message from the customer, the business can no longer send free-form messages.

Businesses used to rely on message tags to send certain messages outside that window. According to Meta's Messenger Platform changelog, from April 27, 2026 requests using these tags are rejected:

Tag

Status

CONFIRMED_EVENT_UPDATE

Reminders for registered events or appointments

Retired April 27, 2026

ACCOUNT_UPDATE

Changes to an account or application status

Retired April 27, 2026

POST_PURCHASE_UPDATE

Order confirmations and shipping updates

Retired April 27, 2026

HUMAN_AGENT

Manual replies by a person for up to 7 days

Still available with special permission

The HUMAN_AGENT tag may only be used for replies typed by a real person, not a bot, and the app using it needs permission from Meta. For marketing outside 24 hours, Meta offers Marketing Messages on Messenger, which can only be sent to people who have agreed to receive them.

The practical takeaway is simple: finish as much as possible within the first 24 hours. If a customer needs order updates days later, invite them to a channel that supports those messages, such as WhatsApp with approved templates, or email.

The most effective Messenger chat sources

Click to Messenger ads

Ads with a messaging objective open a Messenger chat straight from the feed or Stories. Customers never leave Facebook, and the conversation starts with the context of the ad they tapped. Prepare opening questions that match the ad, such as "Is size 42 still in stock?" or "What's the price of the family package?"

The same principle as Click to WhatsApp ads applies: reply speed decides your cost per sale. We cover the ad strategy in the Click to WhatsApp ads guide.

The Send Message button and posts

Page visitors can tap Send Message at any time. On product posts, add a specific call to action such as "Message us 'CATALOG' to see the full collection" so customers know what to type.

Put your m.me link on your website, emails, Instagram bio or receipts. Turn it into a QR code for print materials such as flyers and packaging. You can also add a ref parameter to the link to see where a chat came from, if your platform reads that parameter.

Post comments

Many buyers ask questions in the comments. Reply briefly there, then continue the details in Messenger. Public comments stay tidy and the price discussion moves to a private space.

Running Messenger as a team

While chats are few, one person can reply from Meta Business Suite. Once volume grows and chats also come from WhatsApp and Instagram, the familiar problems appear: chats get lost, answered twice or never followed up.

A shared inbox such as ChatMo connects your Facebook Page through Meta login and puts Messenger chats in the same inbox as WhatsApp, Instagram, Telegram and webchat. Each chat can be assigned automatically to an agent or team, labelled and annotated with internal notes. Per-agent reports show who replies fastest and who needs help.

We explain the shared inbox for multiple channels in more detail in omnichannel chat for business.

How to close sales on Messenger

Reply within minutes

Messenger customers are usually browsing Facebook right now. Reply within five minutes and they are probably still online. Reply two hours later and they may already have bought elsewhere.

Ask questions that narrow the choice

Instead of sending the whole catalog, ask about the need first: "Is it for everyday use or a special occasion?" Two or three good questions make the recommendation feel personal.

Send proof, not just claims

Real product photos, a short video, customer reviews and a photo of the packed order are far more convincing than "great quality guaranteed".

End with a clear next step

Close with something concrete: the total price, payment options and what the customer should send next. Do not let the chat end with "Have a think about it".

Move to a long-term channel, with permission

Because of the 24-hour rule, Messenger is not ideal for long-term relationships. After the purchase, politely offer to send order updates and offers on WhatsApp, and record the customer's consent.

A Messenger conversation that ends in a sale

Customer: Hi, is the sofa from the ad still available?

Business: Hi Dewi, yes it is. What size is your living room? We have a 2-seater and a 3-seater.

Customer: It's small, about 3 by 3 meters.

Business: The 2-seater fits well, it's 160 cm wide. Here's a photo from a customer with a similar room. It comes in grey, cream and sage green.

Customer: How much is the cream one?

Business: Rp3,450,000 with free delivery in Greater Jakarta, by transfer or cash on delivery. Delivery takes 3 to 5 working days. Shall I set up the order for you?

Notice the pattern: a greeting by name, questions that narrow the choice, visual proof, then a clear offer. The whole conversation ends long before the 24-hour window closes.

Messenger or WhatsApp: when to use which?

Many owners ask whether they should focus on one app only. The answer depends on where customers come from and what you need to send after the first conversation.

The pattern that works most often is to use Messenger as the entry point from Facebook, then invite customers who have bought to continue on WhatsApp. You still capture buyers from Facebook without losing the ability to follow up.

Using an AI agent on Messenger

Messenger chats often arrive in the evening, when people relax on Facebook. If nobody replies until morning, half the 24-hour window is gone and the customer's interest has cooled. An AI agent can fill that gap.

In ChatMo, an AI agent can run on a Facebook channel just like on other channels. It answers routine questions from the information you provide, such as products, prices, delivery areas and payment methods. When a customer shows buying intent, complains or asks something outside its knowledge, the AI hands the chat to a human agent. The agent who picks it up in the morning already sees a summary of what the customer needs and can offer a solution right away.

Two things to keep in mind: the AI must not use the HUMAN_AGENT tag, which is reserved for people, and it should be honest that it is an automated assistant if a customer asks.

Numbers to watch

To make sure Messenger actually produces sales, track these every week:

  • First response time. Aim for under 5 minutes in working hours.

  • Share of chats answered within 24 hours. Ideally close to 100%, because late chats are hard to recover.

  • Share of ad chats that become orders. This shows the quality of your ads and of your sales team.

  • Cost per order from Messenger ads. Compare it with ads to WhatsApp or to your website to decide where the budget goes.

A fuller list of KPIs for chat teams is in customer service KPIs.

Common Messenger mistakes

  1. Checking Messenger once a day. Messages answered after 24 hours cannot be followed up freely.

  2. Relying on retired message tags. Flows using POST_PURCHASE_UPDATE or ACCOUNT_UPDATE fail after April 27, 2026. Review your integrations.

  3. Using bots with the HUMAN_AGENT tag. The tag is for human replies only. Misuse can cost you the permission.

  4. Quoting prices in the comments. Competitors can see them, and other customers may misread a price given in a different context.

  5. Not tracking where chats come from. Without knowing which ad started a chat, it is hard to tell which ads actually produce sales.

Summary

  • Messenger for business runs through a Facebook Page and is free to use.

  • The 24-hour window is the main rule; from April 27, 2026 only HUMAN_AGENT remains of the old tags, with special permission.

  • Bring in chats through Click to Messenger ads, the Send Message button, m.me links and comments.

  • Run Messenger in a shared inbox with assignment and labels so no chat slips through.

  • Close the sale within 24 hours, then move the long-term relationship to the right channel with the customer's consent.

Frequently asked questions

Is Facebook Messenger for business free?

Yes. Creating a Page and replying to customers on Messenger is free. Costs come from ads or from third-party platforms you use to manage chats.

What is the Messenger 24-hour rule?

A business can send any message within 24 hours of the customer's last message. After that, it can only message in specific cases, such as with the HUMAN_AGENT tag or marketing messages the customer has opted in to.

Which message tags still work in 2026?

According to Meta's changelog, CONFIRMED_EVENT_UPDATE, ACCOUNT_UPDATE and POST_PURCHASE_UPDATE stop working on April 27, 2026. HUMAN_AGENT is still available for manual replies by a person for up to 7 days, with a permission you must apply for.

How do I get a Messenger link for my business?

Use the format m.me/username, with your Facebook Page username. Put the link on your website, Instagram bio or emails, or turn it into a QR code.

Can several agents reply to Messenger chats?

Yes. Page admins can reply in Meta Business Suite, and a shared inbox such as ChatMo adds chat assignment, labels, internal notes and per-agent reports.
